![]() ![]() Heat lamps, generators, and vendors that are willing to work in the open air are some of the concerns of this type of venue but one of the most important things is bathrooms! There are a few different options here, but it starts at a porta potty and goes up to a luxurious mobile bathroom trailer. Checking on weather patterns can help, but we have seen snow in mid November at some of our preferred venues. During the fall, temperatures can quickly drop in Western North Carolina compared to the big cities that many of our clients hail from. I personally enjoy the open air barn wedding venue, but the volatility of mountain weather can require either fans or heat lamps. ![]() You will still need to bring in all your vendors, and if they need electricity, make sure that the venue has it or you’ll need to rent and maintain a generator during the event. Some venue owners have converted barns into wedding venues by perhaps including tables and chairs as part of the package. The outdoor wedding scene has stayed strong over the years, with many city dwellers desiring an experience involving fresh mountain air, fall colors, and rustic amenities. Wedding Venue Scenario: A fall wedding in a barn The point is that you will need to verify with vendors that they can access and set-up within your site before hiring them, or you might have a problem on your hands. Of course, now we conduct site visits for new venues. We had to switch gears and create a make-shift draft bar system down at the tent site. After arriving at the venue a day before the wedding, they realized that there was no way for the cart to get down a flight of 30 steps to where there tent was located. They wanted us to bring Baby Jack which is our cocktail cart. One of my experiences with Jack’s 47 at this type of venue was when the client hired us before visiting the venue. A shuttle is mandatory, and you will pay for this service for the entire day since the shuttle will need to bring people to the venue and then take them back at the end of the night. Most of the homes you will be looking at might have 2-4 parking spots on average, but even if they have 10-15 it still isn’t enough for the average wedding size of around 100 guests. Hidden costs of this type of venue have more to do with parking and vendor selection. The last thing you want is a big fee or fine after your wedding because you didn’t get approval in writing. The first thing to do here is to check with the owner or rental company to verify that weddings can be hosted at the location. Most estates are not equipped for more than that, unless there is some acreage involved. There are many vacation homes that can host a reasonable wedding of anywhere from 25-100 guests. The second scenario I’d like us to review is a private home or rental. Wedding Venue Scenario: A private home or rental (AirBNB or VRBO) A planner could help identify all of the things you would need to have a successful wedding at this type of venue. This doesn’t include all the other rentals, nor a shuttle if there is no proper parking lot. The tent and the planner could easily set you back $4500. Now this is just an example of two hidden costs. Wedding planner costs can vary, but this could cost you $2500 (or more) for a experienced planner who can help you transform an open space into a wedding venue. A coordinator on the other hand, is there for day of support and CANNOT fix the design flaws that you may have created on your own. A planner will help you discuss the dream, design the space, hire vendors, and convey their expertise and experience to help you plan a better wedding. It’s important to note that there is a difference between a wedding planner and a wedding coordinator. This is where a wedding planner comes into play. Now, if you are new to wedding planning, you’ll probably have a hard time estimating what size tent you’ll need along with table and chair rentals. It all depends on the size and type of tent, if you want any add-ons, delivery chargers, and labor. ![]() The cost of these tents can start at $2000 and go up to $20,000. There are various sizes and set-ups of tents, and while you can get away with a frame tent at smaller sizes, a pole tent will be required for larger guest counts. When I say tent, I don’t mean camping tent, but a large, cumbersome, expensive tent that requires several hours of labor to transport, set-up, and secure. However, with no structures immediately necessitates a tent rental. With space in abundance, it might seem exciting to start with a clean slate to design your dream wedding. Perhaps someone owns a farm or a piece of land with no structures on it, but an open field. I see this kind of venue pop up once in a while. Wedding Venue Scenario: An open field with mountain views
